We generally do not seek sensitive information through website forms. Please do not submit confidential, security-sensitive, commercially restricted or personal information that is not necessary for your enquiry. If sensitive information is reasonably necessary for our activities, we will only handle it with an appropriate lawful basis, which may include your consent.
3. Purpose, consent and required information
We collect and use personal information to:

Website forms identify required fields and link to this Privacy Policy. By submitting a form, you consent to the collection and use described here for the enquiry, resource delivery and follow-up you requested. If you do not provide required information, we may not be able to respond or deliver the requested resource.
We do not add website form submissions to an automated marketing platform. Where permitted, we may contact you manually about the enquiry or resource you requested and related Clarus Caelum services. You can opt out at any time by telling us in a reply or contacting the privacy contact above.
4. Squarespace forms, Contacts and email
Our website is hosted by Squarespace. When you submit a website form, the information is stored in Squarespace Contacts and form-submission records and sent to contact@claruscaelum.com.au. The submission may also include page, source, sector, service, campaign and call-to-action context used to route and measure the enquiry.
Access is limited to people who need the information for Clarus Caelum business purposes. We do not sell personal information. We do not use a separate customer relationship management system for website submissions under this website process.
Email and internet transmission are not completely secure. If your matter involves sensitive, confidential or security-restricted information, use the form only to provide a high-level description and ask us to arrange an appropriate communication channel.
5. Cookies and Squarespace native analytics
Our website uses Squarespace’s native analytics and related cookies to operate the site, understand usage patterns, identify referral sources and improve the visitor experience. This may include technical and usage information such as IP address, device and browser information, pages visited, links clicked and time on site.
You can usually manage cookies through your browser settings. Disabling cookies may affect some website functions. We do not use a separate third-party marketing analytics platform under this website process.
6. Disclosure and overseas processing
We may disclose personal information to:
• employees and contractors who need it to perform their duties;
• Squarespace, our email service provider and other technology providers needed to host, secure and operate the website and communications;
• professional advisers such as lawyers, accountants, auditors and insurers; and
• government agencies, regulators, courts or law-enforcement bodies where required or authorised by law.
Some service providers may store or process information outside Australia. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled consistently with this Privacy Policy and applicable privacy obligations.
7. Security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Measures may include access controls, secured systems, account protections and organisational procedures. No transmission or storage method is completely secure.
If a form or delivery path fails, contact us at contact@claruscaelum.com.au. Do not resend sensitive or restricted information through an insecure channel.
8. Retention and deletion
We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer period is required or permitted by law. When information is no longer required, we may de-identify or securely destroy it.
You may contact us to ask about information associated with your submission or to request deletion. We will consider the request subject to any legal, contractual, security or record-keeping obligations that apply.
9. Access, correction and complaints
You may request access to or correction of personal information we hold about you by contacting us. We may need to verify your identity before processing a request and will respond within a reasonable timeframe.
If you have a privacy complaint, provide enough information for us to investigate. We will acknowledge and respond within a reasonable time. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner.
